Running your Space day to day

Everything for a Space's bookings is on its page: space.tbbnetwork.com → My Spaces → your location → the Space → Bookings. You and your team (Admins and Reception) can work from it.

Booking requests (approve before payment)

If you ticked Require my approval before payment, new coworking bookings arrive as AWAITING_APPROVAL, with the guest's name and company if they gave them.

  • Select Approve — the guest can now pay, and is emailed.
  • Select Decline — the request is released and the guest is told.

You have 24 hours to decide. After that the request is released automatically.

Coworking guests: check-in

When a guest arrives, ask for their check-in code (shown on their booking page).

  1. Find their booking (status PAID or CONFIRMED).
  2. Type the code into 6-digit code and select Check in. The booking shows Checked in.
  3. When they leave, select Mark as completed.

No-show: if the start time has passed and they never checked in, select Mark no-show. TBBN applies your policy's no-show grace period — if it's too early, you're told how long is left. Your policy can also mark a coworking guest a no-show automatically. See Refund and no-show policy.

Meetups

When the people meeting have used the Space, select Confirm exchange on the booking.

Drop-offs and pickups

When someone drops an item off:

  1. Ask for their drop-off PIN.
  2. Type it into 6-digit PIN.
  3. Take or choose a photo of the item — it's required, and it's the record of the item's condition.
  4. Select Verify drop-off. The booking shows Dropped off — awaiting pickup, and the person collecting is emailed their pickup PIN.

When someone collects it:

  1. Ask for their pickup PIN (from their email).
  2. Type it in, take a photo of the item, and select Verify pickup.
  3. The booking shows Picked up and is complete.

Never hand an item over without a matching pickup PIN. Incorrect pickup PIN means don't release it.

Cancel a booking

Select Cancel (guest refunded in full). The guest gets everything back, including TBBN's processing fee. Use it only when you genuinely can't host.

Message a guest

Select Message guest on a booking, or open Messages on space.tbbnetwork.com. Messages are screened: arranging payment outside TBBN isn't allowed, contact details are shared only after a paid booking, and changes or cancellations must go through the booking itself.

See your earnings

Payouts (Branch-level) at the bottom of the Space page lists each earning with its Amount, Status and Paid at.

You earn on a booking once the guest completes it or is a no-show under your policy. Earnings become payable after a short window in which the guest can report a problem, then go out automatically in the next Monday payout. An earning is held while a report about that booking is open. Make sure Stripe Connect is set up — otherwise earnings wait until it is.

Your team

Add staff to your Business with the Reception role so they can check guests in and handle drop-offs without managing prices or money. See Team and roles.

Get bookings in your own system

Add a webhook on your Business page to be notified when a booking is created, paid, completed, cancelled or marked a no-show. See Webhooks.
