Run your front desk on a tablet
A tablet at the desk can check guests in and verify drop-offs and pickups without anyone's account signed in on it. The tablet is registered to one location and sees nothing else, and each person says who they are with a PIN, so every action is recorded under their name.
Set up a tablet
You need to be able to manage the location: the owner, an Admin, an Account manager or Operations.
- On the tablet, go to space.tbbnetwork.com/front-desk. It shows Set up this tablet and a code.
- On your own device, sign in at space.tbbnetwork.com and open the location's page.
- Under Front desk tablets, enter the Code on the tablet and a name such as Front desk 1, then select Add tablet.
The tablet moves on by itself within a few seconds. Add the page to its home screen so it's easy to open. The code changes every 10 minutes.
Add your staff
On the same page, under Front desk staff, enter each person's Name and a PIN of 4 to 6 digits, and select Add person. They don't need a TBBN account or an email address. A person added at one location can't use their PIN at another.
Select New PIN to change someone's, or Disable when they leave.
Use it
- Select your name and enter your PIN.
- Type the code the guest gives you into the box and select Find. It finds the drop-off, pickup or check-in at this location.
- Check the details and select Confirm.
If someone is collecting with no TBBN account, select Take a photo of the item first. It opens the camera. The person dropping something off adds their own photo from their booking page.
Arriving soon lists who's expected in the next 24 hours. Once a booking has started and the guest hasn't arrived, select No-show beside it.
The tablet locks itself after 2 minutes untouched, so the next person enters their own PIN. Select Lock when you step away.
Remove a tablet
If a tablet is lost, select Remove next to it. It stops working straight away. A tablet that isn't used for 30 days has to be registered again.
Common questions
It says my PIN is locked. After 5 wrong tries a PIN locks for 15 minutes. A manager can select New PIN to unlock it sooner.
It says no booking here matches that code. Check the code with the guest. A code for a booking at another location gets the same answer. After 10 wrong codes in a row, the tablet stops looking for 15 minutes.
Who can see what the tablet did? Every action is recorded with the tablet, the person and the location.
